Receipts and final payment
: once we receive your signed enrolment form along with your deposit, we will e-mail a Statement to you reflecting receipt of your deposit and the balance due for your trip. Payment in full is due no later than 60 days prior to Day 1 of the trip. After receipt of full payment we will e-mail you all other necessary and useful information regarding the tour.


When to book your flight
. We strongly suggest that you do not purchase your airline ticket until we have confirmed to you by e-mail that the trip is a “go”. This will be done no later than 60 days prior to Day 1 of the tour. If the group size is 5 or 6, each participant will be asked via e-mail if the small group supplement is acceptable. If there are fewer than 5 participants the trip is cancelled.

After all preliminaries have been completed you can be sure we’ll do our very best to make your trip a lifetime experience !


Terms and conditions

Throughout the following text, the terms "we", "our" and "us" refer to and stand for Totara Tours Limited.


Pricing of trips
.  All pricing is in New Zealand dollars (for currency conversion, click here), and is based on room rates, entrance fees, green fees and other prices quoted to us at the time of scheduling. Prices are inclusive of GST (Goods and Service Tax). Since many of our trips are planned and offered well in advance, changes in pricing may cause minor increases in fees that are sometimes unavoidable. In such cases, we reserve the right to amend prices without prior notice. If increases become necessary, we will inform you as soon as possible, but an increase in prices shall not be deemed sufficient grounds for refunds other than as determined by the Cancellation Policy (see below).

Rates are based on a group size of 8, and if the trip does not have sufficient enrolment, a supplemental fee may have to be charged. The amount of small group supplements is stated on our prices page.

Accommodation costs are based on double occupancy. Single rooms are an additional cost (see prices page). If requested, 2-bedroom apartments can often be arranged for 3 or 4 participants who wish to share. You can indicate your wishes in this on the Enrolment Form. We will do our best to satisfy your desires, but cannot always guarantee this as rooms are subject to availability.

Non-golfers are welcome on our trips and receive a $200 discount off the tour fee. Single room supplements and small group supplements still apply.


Included in the trip prices
are the following items: accommodations, all breakfasts, green fees, drinks including coffee, tea and bottled water on the bus, ground transportation as per the Transportation Details below, entrance fees for sites and activities listed in the tour programme.


Not included in the trip prices
are the following items: airfare, any travel or transportation costs prior to or after the tour days, pre-tour and/or post-tour accommodation expenses, lunches and dinners, alcoholic beverages, entrance fees or costs related to optional sites and/or activities not included in the itinerary or a part of the trip, excess baggage charges, medical costs, personal items, incidental charges incurred at our accommodations such as Internet access charges, phone calls or laundry, baggage or travel insurance, passport or visa expenses, departure taxes, rental of golf equipment, trundlers et cetera.

together with your Enrolment Form. The remainder of the tour fee, including any single supplements or small group supplements, are due 60 days prior to the start of the tour.


Cancellation Policy
. If you must withdraw from a tour more than 90 days before the starting date (Day 1 of the tour), your deposit, less any deposits made on your behalf with other suppliers, and less $50 administration costs will be refunded to you. Deposits placed with such suppliers will be refunded when remitted to us.

If you must withdraw 61 to 90 days before the starting date, your entire reservation deposit will be forfeited, and any aditional amounts you deposited will be refunded to you less any deposits we have made on your behalf with other suppliers. Deposits placed with such suppliers will be refunded when remitted to us. However, if such deposits are non-refundable, those will be forfeited by you too.

If you must withdraw 60 days or less before the starting date, your entire fee will be forfeited unless the vacated place can be filled. If the vacated place can be filled, your entire reservation deposit of 10% will be forfeited and any additional amounts you deposited will be refunded to you less any non-refundable deposits made and non-recoverable costs incurred on your behalf.

We reserve the right to cancel any tour for any reason. If we cancel a tour, we will refund all payments made by you. In the event we cancel a tour, Totara Tours Ltd is not responsible for any expenses incurred by you, including but not limited to airfare, travel insurance, etc. and we strongly urge you to obtain travel insurance. Consult your travel agent or insurance company.

You must notify us in writing of your withdrawal and cancellation. All notifications must be made via e-mail. The date of our receipt of your e-mail notification will be deemed the date you gave your notice to cancel.


Arrivals
. We strongly advise you to arrive at least a day early, in order to be fresh and on time for the trip. We will be picking up participants from their accommodation in Christchurch around 11 a.m. on Day 1. If you can be at Christchurch Airport at that time, we will pick you up there. If you cannot make that connection, we recommend you arrive a day earlier. Please let us know by e-mail where you wish to be picked up.

If, for any reason, a participant arrives at Christchurch after the tour’s departure time it will be your responsibility to catch up with the group to commence your tour. Inasmuch as it would be unfair to other participants to delay their tours, you will be expected to arrange and pay for your own transportation to the accommodation place for that evening or such destination as may be agreed to by the tour leader. You will be provided with the tour leader’s mobile phone number prior to the trip.


Accommodations
. The cost of accommodations is included in the tour fee starting with Day 1 of the itinerary and ending with the last night of the itinerary; subject to single supplements where applicable. Take a look at our accommodation page to get an idea of the standard of accommodation you can expect throughout the trip. If it is necessary to change accommodations from those originally planned we will do our utmost to maintain our standards. All rooms are non-smoking, and smokers are asked to abide by accommodation rules and local ordinances.


Meals
. The cost of all breakfasts, and drinks including bottled water, coffee or tea plus some snacks on the bus is included in the trip price. Lunches or dinners are not.


Smoking
: in addition to the above conditions listed in “Accommodations”, smoking is not permitted at meals, on the bus or other shared transportation.


Alcohol
: no alcohol is permitted on the bus.


Transportation
. Transportation is included in the tour price from Day 1 of the trip through to your return to Christchurch on the last day of the tour. We use a luxury minibus for a full group of 8 and add a luggage van whenever needed. Please note that under New Zealand law drivers are required to have a full 24-hour rest at least once every seven days, which means that the bus and driver will not be available on one day of the trip. This will be a day on which another activity or full-day excursion is planned.


Luggage
: Totara Tours Ltd asks that participants in our Golf Tours limit their luggage to the equivalent of one suitcase, one flight bag and one golf bag (full set of clubs plus collapsible trundler). Adhering to this guideline will ensure adequate space and comfort for all travelers. All personal luggage is the responsibility of the owner.


Please note !
Do make sure that all golf equipment you bring into the country, trundlers, shoes, etc. have been thoroughly cleaned to satisfy New Zealand MAF regulations (see http://www.biosecurity.govt.nz/personal-travel-belongings-and-mail).


Medical matters
: You are personally responsible for maintaining and keeping current your prescriptions, dietary regime, and the like. New Zealand requires no specific inoculations.


Please note that the Accident Compensation Corporation (ACC) provides personal injury cover for all temporary visitors to New Zealand. In return people do not have the right to sue for personal injury, other than exemplary damages. For more information, go to www.acc.co.nz.


Your responsibility and release of liability: Your signature on the Enrolment Form indicates that you are aware that travel, wherever it may be and by whatever means, involves some inherent risk of injury, illness, death, loss, or damage to personal property, which may be caused by forces of nature, negligence or actions of others, or other agencies. In consideration of, and as part of the payment for, your participation in our tour, you are voluntarily releasing Totara Tours Ltd., and all those involved with it, including but not limited to, all of its agents, leaders, guides and suppliers, from any and all liabilities.

You understand and agree that medical services or facilities may not be readily available during all or part of the trip, and that this includes emergency medical care, presence of physicians, and adequate medication. We assume no responsibility for medical care or any special dietary requirements you may have.

You understand and agree that travel with a group invariably involves compromise to accommodate the diverse desires, travel goals, personalities, and physical abilities of group members. You further understand and agree that while itineraries are carefully planned, they are not a guaranteed schedule of activities, events, or participation. We will do our utmost to deliver the itinerary outlined in the tour programme. However, participants must allow for flexibility and changes deemed necessary by the programme leader as there may be situations beyond our reasonable control due to geographic, climatic or physical restrictions that will cause further changes in timing, locations, and activities. You understand and agree that there are no discounts or refunds for activities curtailed or otherwise affected by such circumstances.

You have assumed the responsibility to select an activity appropriate to your physical abilities and interests. You are personally responsible for being in sufficiently good health to undertake the activity. By forwarding a signed Enrolment Form and deposit, you certify that you do not knowingly have any physical or other conditions or disability that would create risk for you or other participants.


Incorporation
: These Terms and Conditions are referenced in and made a part of the enrolment form, which all participants must sign and return with their deposit in order to be accepted as a participant.
